Privacy Notice for JSPS Alumni Association Registration

Japan Society for the Promotion of Science London Office (“JSPS London”) would like to inform you of how your personal data will be processed in accordance with the UK General Data Protection Regulations (UK GDPR).
i) Processing of personal data and data controller
We will use, store and in other ways process any of the following personal data we already hold for you: name, date of birth, nationality, gender, address, phone number, email address, place of work/research institute, position, academic record or achievements, etc. for the purpose of promoting a network for JSPS alumni, continuing to sending you academic information including about research funding calls and advertisement relating to collaborative activities between the UK and or Republic of Ireland and Japan. JSPS London is the data controller. 
The legal basis for the processing of the above-mentioned personal data is your consent. You may withdraw your consent at any time by simply informing us that you wish to do so, see iv) Contact us below. If you wish to withdraw your consent, we will immediately stop processing your personal data as a member of Alumni Association and will also stop sending information about our activities and funding opportunities to you. However, the personal data we hold for you as an awardee of a JSPS Funding programme will remain and be used in accordance with the rules which JSPS provided you when you applied for the JSPS funding programme.
We will store your personal data as long as you are a member of the JSPS Alumni Association of the UK and Republic of Ireland. We will thereafter delete your personal data unless we have a legal basis for keeping them.
ii) Transfer of personal data
We may also transfer your personal data outside of the UK, to the offices of Japan Society for the Promotion of Science (“JSPS”) around the world, for the purpose of the management and activities of the JSPS Alumni Association of the UK and Republic of Ireland.
The JSPS offices outside of the UK which may receive your personal data are:
 - Europe: JSPS Bonn Office (Germany), JSPS Stockholm Office (Sweden), JSPS Strasbourg Office (France)
 - Asia: JSPS Tokyo Headquarters (Japan), JSPS Beijing Office (China), JSPS Bangkok Office (Thailand)
 - US: JSPS Washington Office (US), JSPS San Francisco Office (US)
Please note some of the countries where the JSPS offices locate do not provide adequate protection for personal data. There could be no local supervisory authority and only limited protection for individual data or privacy rights could be available.
iii) Your rights as the data subject
As the data subject, you have the following rights towards us:
a) The right to request access to and rectification or erasure of your personal data
b) The right to request restriction of processing data concerning you or to object to it being processed
c) The right to data portability
d) The right to lodge a complaint with the ICO (Information Commissioner’s Office) in the UK 
e) The right to withdraw your consent at any time, without affecting the lawfulness of processing your personal data based on your consent before its withdrawal
